I aim to keep this clear and proportionate. No unnecessary tracking. No selling your data.

  • Any details you include in a contact message

Newsletter and Workshop registrations:

  • Name
  • Email address

Basic website usage data

  • Pages visited

Your information is used only to:

  • Respond to enquiries you send via the website
  • Understand how the site is used so it can be improved
  • Ensure the site functions correctly and securely
  • Send occasional emails if you have chosen to subscribe to my newsletter or workshop

I do not:

  • sell your data
  • rent your data
  • share your data for marketing purposes

Legal basis for processing

Under UK GDPR, I rely on the following lawful bases:

  • Consent – where you have actively chosen to provide information (e.g. submitting a contact form or accepting cookies)
  • Legitimate interests – to operate and improve the website in a reasonable, expected way

You can withdraw consent at any time.

Podcast guests

If you take part in one of my podcasts, interviews or recorded conversations, I may collect and use:

  • your name, email address, job title, business name and biography;
  • your voice, image and video appearance;
  • the information and opinions you share during the recording;
  • photographs, logos or other materials you provide;
  • correspondence relating to your appearance; and
  • your signed guest release and electronic signature details.

This information is used to:

  • arrange and manage the recording;
  • record, edit, transcribe and produce the episode;
  • publish and distribute the episode;
  • create clips, captions, articles, images and other promotional content;
  • promote the podcast through websites, podcast platforms, YouTube, social media, email, advertising and public relations;
  • maintain an archive of published content; and
  • keep a record of the permissions granted by the guest.

The legal bases I rely on are:

  • Contract – to manage your participation and fulfil the terms of the guest appearance agreement you sign.
  • Legitimate interests – to produce, publish, promote and maintain the podcast and related content in a reasonable way that guests would expect.
  • Consent – where I specifically ask for consent for an additional use that is not covered by the guest appearance agreement.

Recordings and related information may be shared with trusted providers that help with electronic signatures, recording, editing, transcription, cloud storage, podcast hosting, distribution and social media. Freelance editors, producers or other contractors may also have access where necessary to produce the content.

Some of these providers may process information outside the UK. Where this happens, appropriate safeguards are used in accordance with applicable data-protection law.

Published episodes, clips, transcripts and promotional content may remain publicly available for as long as the podcast and its archives continue to operate. Signed guest releases and records of permission may be retained for as long as the episode or related content remains available and for a reasonable period afterwards.

Raw recordings and production files are retained only for as long as they are reasonably needed for editing, archiving, creating related content or handling legal and contractual matters.

Podcast guests may contact me at ben@ben-robins.com to ask questions, request access to their information or raise concerns about how it is being used.

Reasonable requests to remove sensitive material will be considered, particularly when made before publication. Once content has been published or distributed, I may not be able to guarantee its complete removal from downloads, archives, reposts, search engines or third-party platforms.

Nothing in this section limits the data-protection rights described elsewhere in this policy.
